Account mappings tell the plugin which Xero accounts to post different parts of a WooCommerce order to. Getting these right means your Xero books stay clean and your reports make sense.
Sales Account
This is the Xero account that product line items are posted to when an order syncs. You’ll find the mapping in Ordlo → Xero Settings → Account Mappings. This is typically your main sales or revenue account in Xero.
Shipping Account
If your orders include a shipping charge, that amount is posted to whichever Xero account you select here. Choose an appropriate income or cost account from your Xero chart of accounts.
Fees Account
WooCommerce orders can include fee lines — for example, a handling charge or payment surcharge. These post to the fees account you map here.
Payment Gateway Accounts
When a paid WooCommerce order syncs to Xero, the plugin also creates a matching payment record. Each payment gateway (such as Stripe, PayPal, or bank transfer) can map to a different Xero bank or clearing account, keeping your payment methods separate in Xero. If a gateway doesn’t have a specific mapping, the default payment account is used instead.
Tax Code Mappings
Tax mappings tell the plugin which Xero tax type applies to each line item. You can set a default tax code for most products, a separate code for shipping lines, and individual overrides for each WooCommerce tax class if your store uses multiple rates. Make sure your tax codes match how your Xero account is configured (tax-inclusive or tax-exclusive) to keep totals correct.
Recommended Order to Set These Up
- Connect to Xero first — the dropdowns won’t populate until a connection is active.
- Map the sales account.
- Map the shipping and fees accounts.
- Set the default tax code and any per-tax-class overrides.
- Map each payment gateway to a Xero bank account.
- Test with one order before turning on automatic sync.
