Ordlo Xero Sync Pro: Sync Triggers and Automation

You control when orders sync to Xero automatically. The plugin watches for order status changes and queues a sync whenever an order reaches one of the statuses you’ve selected.


Setting Up Automatic Sync

Go to Ordlo → Xero Settings → Sync Triggers and tick the order statuses that should trigger an automatic sync. For most stores this will be Processing and Completed. Save the settings.

From that point on, whenever an order reaches one of those statuses, the sync is queued to run in the background — usually within a minute or two.


Payment Callbacks from Xero

If you mark an invoice as paid directly inside Xero (rather than through WooCommerce), the plugin can update the matching WooCommerce order automatically. There are two ways this works:

  • Webhooks — Xero notifies your store the moment an invoice is paid. This is the fastest option. Set it up by copying the webhook URL and delivery key shown in Ordlo → Xero Settings into your Xero account settings.
  • Polling — If webhooks aren’t set up, the plugin checks Xero every 15 minutes for invoices that have been paid and updates the matching WooCommerce orders. Enable this from Ordlo → Xero Settings → Xero to WooCommerce.

Both options look for pending or on-hold WooCommerce orders whose Xero invoice has since been marked paid, and update them accordingly.


Turning Off Automatic Sync

To stop orders syncing automatically, go to Ordlo → Xero Settings → Sync Triggers and untick all statuses. You can still sync any order manually from the order screen or the Ordlo → Xero Sync dashboard at any time.
